These services involve book metadata.

So, what is book metadata? Book metadata is the information that helps identify, describe, produce, distribute and use a book. It includes familiar details such as title and author, as well as less visible information that helps a retailer order the right edition, a library describe it, or a reader decide whether an e-book meets their needs.

For independent authors and publishers, metadata can feel like one more form to complete. The useful shift is to see it as a book’s working record across its life: from planning and pre-publication cataloguing through release, sales and access.

Practical Ways to Organise Book Metadata

A practical way to organise that record is to group information into five categories: descriptive, administrative, structural, commercial and use metadata. This is a helpful working model, not a single universal standard.

Different communities group some fields differently: the University of Texas Libraries’ metadata guide, for example, places rights and use information within the broader administrative category. I’ll separate use as its own lens because reader access deserves focused attention.

Different Types of Metadata

Book metadata is broadly broken down into descriptive, administrative, structural, commercial, and use categories. So what is involved in each type of metadata?

Core Descriptive & Bibliographic Metadata

Descriptive metadata helps people identify and discover the book. It includes data such as:

Identifiers: Unique numbers like the ISBN (10-digit or 13-digit for each distinct format like paperback, e-book, or audiobook) or LCCN (Library of Congress Control Number, for US-published books).

Contributors: Names and roles of authors, co-authors, editors, translators, illustrators, and narrators.

Title Information: Main title, subtitle, series name, series number, and edition statement (e.g., 2nd revised edition).

Subject Classifications: Standardised category codes such as BISAC (Book Industry Study Group), BIC, or LCC (Library of Congress Classification, for US-published books) call numbers that dictate shelf placement and digital browsing trees.

Keywords & Blurbs: Promotional descriptions, back-cover copy, and search keyword tags used by online retailers.

Administrative & Technical Metadata

Administrative metadata supports production, management and preservation. It includes data such as:

Rights & Licensing: Copyright holder, territorial sales rights, and licensing constraints.

Physical and Digital Specifications: Page count, word count, file formats (e.g., EPUB, PDF, MP3), physical dimensions, and weight.

Preservation & File Data: Creation dates, software used, digital checksums, and archival instructions.

Structural Metadata

Structural metadata shows how the book’s parts fit together. It includes data such as:

Navigation Architecture: Machine-readable maps that define the hierarchy of the book, such as digital Tables of Contents (TOC) used for e-reader navigation panes.

Internal Linking & Hyperlinks: Cross-reference markers linking inline citations to footnotes, endnotes, or external digital resource links.

Pagination & Flow Mapping: Layout coordinates mapping print-equivalent page numbers to reflowable text in digital formats like EPUB or Kindle formats.

Media Sync Anchors: Precise timestamp markers used in media overlays to perfectly align text highlighting with audiobook narration (e.g., synchronised EPUB3 reading tracks).

Component Segmentation: Tagged divisions separating distinct parts of a book, including front matter (preface, introduction), main body chapters, and back matter (indices, appendices, bibliographies).

The contents page and section markers show how structural metadata can map a book’s chapters and parts.

Commercial & Sales Metadata

Commercial metadata helps partners – book distributors, printers, librarians, bookshops, online book retailers – supply, price and sell each format. It includes data such as:

Pricing & Availability: Retail price across different currencies, publication/on-sale date, and stock/distribution status.

ONIX Feeds: Standardised industry XML-based data structures (ONIX for Books) used by publishers to transmit catalogue data to wholesalers and bookstores.

Sales & Marketing Data: Performance metrics like sales volume, conversion rates, ad click-through data, and customer reviews or sentiment scores.

Usage Metadata

Use metadata clarifies access, accessibility and technical restrictions. It includes data such as:

Reader Engagement Metrics: Telemetry tracking total reading time, average session length, page-flip frequency, and overall book completion rates on e-readers.

Text Interaction Analytics: Aggregated counts of words, phrases, or passages that readers highlight, bookmark, or add personal digital notes to.

Circulation & Lending Data: Frequency metrics covering public library checkout counts, renewals, hold-list lengths, and digital return rates.

Navigation Behaviour Tracks: Data showing how readers navigate a book, including chapter skip rates, returns to the Table of Contents, or looking up words in the built-in dictionary.

Device Ecosystem Analytics: Breakdown of platforms used to read or listen to the book, such as specific e-reader hardware, mobile apps, or web-based browser viewers.

Book Metadata is a Lifecycle Record, Not a Single Form

A book’s metadata doesn’t live in just one catalogue or spreadsheet. Publishers share information with printers, distributors, retailers, libraries, educational institutions and readers. The Book Industry Study Group’s 2026 Metadata Committee Charter describes metadata as information used to communicate across the global book supply chain, supporting both discovery and purchase.

The five categories help explain what a piece of information is for. They are not the same thing as a file format or a standard. For example, ONIX for Books is an XML-based way to exchange product information. The Library of Congress overview of ONIX describes product records that can carry identifiers, descriptions, marketing material, content details, publishing details and supply information. A single ONIX record can therefore contain fields that serve several of the five categories.

Think of the categories as labelled drawers in a well-organised workroom. The information may travel together, but each item still has a distinct job. A retailer needs to know what the product is and whether they can order it; a reader needs to know whether it sounds like the book they want.

Descriptive Book Metadata Helps the Right Reader Find the Right Book

Descriptive metadata answers a reader’s basic questions: What is this book, who made it, and what is it about? It can include the title, subtitle, author and other contributors, edition, language, publication details, identifiers, subject categories, keywords and a concise description.

Accurate descriptions and subject terms help readers find and assess a title.

The University of Texas Libraries’ metadata guide says descriptive metadata supports discovery, identification and selection. In a book catalogue, that means a reader can search for an author, browse a subject, distinguish one edition from another and decide whether to open a record or borrow a title.

The description and subject terms matter because they translate a book’s contents into searchable information. A novel might be accurately described as historical fiction and tagged with relevant setting or theme terms; a memoir might be discoverable through its subjects as well as its author’s name. The aim is faithful description, not a pile of trending keywords.

This is also where pre-publication data (formerly cataloguing-in-publication – CIP) fits. A Pre-Publication Data (CIP) record is a cataloguing aid: it gives libraries bibliographic information before a book is released. The National Library of Australia’s publisher-services information lists Pre-Publication Data among its publisher services. This type of record is not a sixth metadata category; it is a publishing-stage activity that produces descriptive information for cataloguing. Programs and eligibility vary, so publishers should check the relevant national or library service.

Administrative Book Metadata Keeps the Work Manageable Behind the Scenes

Administrative metadata helps a publisher or institution manage a book as an asset. It may record when a file was created or updated, which version is approved, who supplied a piece of information, what production format is being used, or what rights and preservation details apply.

The University of Texas Libraries guide places technical, preservation, rights and use information within its broad administrative category. In a small publishing operation, related notes might include the printer-ready file’s version, the date a cover proof was approved, the source of a corrected contributor name, or the location of final EPUB files.

Version and production notes help publishers keep book records current.

Not every publisher needs the same fields, and a production checklist is not a substitute for a distributor’s required data. Still, recording the source and date of important details makes updates safer. If a price changes or a new edition replaces an old one, a clear record helps the team identify what needs correction and which version should move downstream.

The category can overlap with the others. Rights information, for instance, may help an organisation administer the title, while also determining where or how the book can be sold or used. The key is to capture the information and understand why it matters.

Structural Metadata Shows How the Book Is Assembled

Structural metadata describes the relationships among parts of a resource. For a book, that can mean how front matter, chapters, sections, appendices and back matter are arranged… and how one part follows another.

The University of Texas Libraries’ metadata guide uses chapters in a book as an example of structural metadata. In practice, a table of contents gives readers a human-readable map, while an e-book’s navigation structure lets reading software move between chapters and sections. An audiobook may be organised into tracks that correspond to chapters or other divisions.

Structural metadata maps the order and relationships among a book’s parts.

ONIX can carry content information such as a table of contents, but the full internal structure may also be represented in the e-book or audio files themselves. The EDItEUR ONIX code list for text types includes categories such as a table of contents and full description, showing how exchange metadata can describe content without being the content file itself.

Why does this matter? A book with clear structure is easier to navigate, preview and use with assistive technologies. For an author, a table of contents also gives booksellers and readers a concrete glimpse of what the book covers, especially useful for nonfiction, reference works and collections.

Commercial Book Metadata Makes Each Edition Orderable and Sellable

Commercial metadata tells business partners which product is available, under what terms, and in which market. It can include product form, an ISBN or other identifier, publication and on-sale dates, price and currency, territory, availability, supplier or distributor details, and discount or sales terms.

The BISG Metadata Committee Charter specifically identifies distribution arrangements, price, discounts and other selling terms as commercial metadata. The ONIX description also identifies supply information as part of a book product record.

Each edition may need its own identifier, price and availability details.

A key point for indie publishers: a title and a product are not always the same thing. Paperback, hardcover, EPUB, and audiobook are different formats, and each may need its own product identifier and commercial details. A reader should not encounter a paperback price on an e-book listing or an availability status that belongs to a different edition.

Commercial fields also change over time. A book may move from forthcoming to available, a price may be revised, or distribution may expand into another territory. Keeping update dates and sources clear reduces the risk of old details continuing to circulate after the product changes.

Use Metadata Tells Readers What Access and Experience to Expect

Use metadata focuses on how a reader can access and interact with a book. Depending on the framework, these details may be grouped under administrative or technical metadata; separating them here makes their reader-facing purpose easier to see.

For digital books, use-related information can include accessibility features, digital rights management (DRM), and limits on activities such as printing, copying or lending. The Library of Congress ONIX overview notes that ONIX can express e-book use constraints and accessibility features. Such details help libraries, retailers and readers understand the experience a particular digital product supports.

Accessibility and use details clarify what a digital edition supports.

A format label alone does not tell the whole story. Two EPUB products may differ in their accessibility support or technical restrictions. Clear, accurate information helps a reader choose a suitable format before purchase or borrowing and helps a library make an informed acquisition decision.

For print books, there may be fewer digital restrictions to describe, but use still depends on context: a large-print edition, a classroom edition or a book licensed for a particular territory can serve different needs. Record the relevant facts without promising a feature the product does not provide.

A Five-Category Metadata Check for Independent Authors and Publishers

Before sending a book’s information to a distributor, retailer or library, review it by category. The BISG charter emphasises the varied stakeholders who rely on metadata, while ONIX’s product-record groupings show how description, content, publishing and supply details move through the chain.

For each format—print, e-book and audio where applicable—check:

Descriptive: Are title, contributors, edition, language, identifier, description and subject information accurate and consistent?

Administrative: Is the approved file or version clear? Can you trace when key details were last checked and where they came from?

Structural: Does the contents list match the final book? Do e-book navigation or audiobook tracks reflect the actual sequence?

Commercial: Are product form, format-specific identifier, publication date, territory, price, currency and availability correct for the market?

Use: Are accessibility features and any relevant digital restrictions accurately stated?

Requirements differ by distributor, retailer, library, territory and format. Treat this as a review framework, then confirm the specific fields your partners request. A spreadsheet with one row per format, an owner for each field and a ‘last verified’ date is a simple place to start.

Checking Your Metadata

Choose one forthcoming or recently published book and make a separate metadata sheet for each format. Review it once from the reader’s perspective: could someone identify and understand the book? Review it once from a partner’s perspective: could a retailer or library order and manage the correct product?

Then mark who owns each field and when it was last verified. The BISG Metadata Committee Charter describes metadata as serving stakeholders across the supply chain, from publishers and distributors to libraries and consumers. So a clear owner and verification date help keep those hand-offs dependable. The aim is not to fill every possible box. It is to ensure the right information reaches the people and systems that help a book find its way to readers.

At the end of the day

Book metadata isn’t paperwork for its own sake, nor is it merely administrative information to complete and file away. It is the practical, descriptive information that helps a book move successfully from the publisher to the people who need to discover, order, access and enjoy it.

Accurate metadata helps readers find the right title, helps booksellers and libraries identify and supply it, and ensures digital and physical versions are presented clearly across the systems where they appear. In this sense, metadata supports a book’s entire path, from initial publication and distribution to the reader’s experience.

The five categories are best used as a review lens rather than as rigid, separate boxes. They provide a useful way to ensure the important information is considered, while allowing some details to naturally overlap between categories. A single piece of information may serve more than one purpose, and how it is recorded may differ depending on whether the book is described for print, digital, or another format. What matters most is accurate metadata that fits each format and is easy to update and maintain over time.

Final thoughts

Metadata helps a book reach the people ready to read it. When details are accurate and maintained for each format, readers can understand what they’re choosing, while booksellers and libraries can identify and supply the right edition.

That consistency matters beyond publication day. When contributor credit, price, or format changes, keeping the information current wherever the book appears helps every handoff, from publisher to bookseller or library, and ultimately to the reader, run more smoothly.

Which part of book metadata do you find hardest to keep current: the descriptive details, the commercial information, or the format and access data?

Book metadata covers more than a title and ISBN.
